A Luxury Wedding Planner’s Guide to the Hidden Costs
There is something I absolutely love about a marquee wedding.
You start with a completely blank canvas and, quite literally, get to create the wedding you want. A beautiful countryside setting, a private family estate, a gorgeous garden or a venue with the perfect grounds can all become the backdrop for an incredibly personal celebration.
But before you fall completely in love with the idea of a marquee wedding, there is one thing I always tell my couples. The marquee itself is only the beginning.
The cost of the structure is just one part of the overall budget. Once you start thinking about catering, toilets, power, flooring, lighting, heating, furniture and everything your suppliers need behind the scenes, the numbers can quickly start to change.
As a luxury UK wedding planner, marquee weddings are some of my favourite celebrations to plan because of the creative freedom they offer. But that freedom comes with more logistics, more suppliers and, ultimately, more things to budget for.
So, if you're dreaming of a marquee wedding in the UK, here's what you really need to know before you say yes to the marquee wedding.
What Marquee Structure?
First things first… What kind of marquee wedding are you planning? Because not all marquees are created equal.
A traditional canvas marquee, a clear-span marquee, a glasshouse-style marquee, a Sperry tent or a more open-sided sailcloth structure will all create a completely different look and feel. They will also come with different costs and practical considerations.
A classic marquee can feel timeless and elegant, while a glasshouse marquee wedding gives you those incredible panoramic views and floods the space with natural light. But glass is fantastic at creating a wow factor and considerably less fantastic at regulating temperature.
Which brings us nicely to...
Heating & Air Conditioning
One of my biggest marquee wedding planning tips… Don’t leave this until the last minute. The British weather. We all know it.
One minute you're planning a glorious summer wedding, the next you're wondering whether your guests need blankets.
Heating is essential for cooler months, but air conditioning or specialist cooling systems can be just as important for a glasshouse or clear-sided marquee in the height of summer. These structures can heat up surprisingly quickly, particularly when you have hundreds of guests, catering equipment and a dance floor full of people.
This isn't an area I'd recommend trying to save money on. Your guests should be comfortable from the moment they arrive until the last dance.
Think About the Flow of the Space
One of the first things I look at when planning a marquee wedding is how the space is going to work, not just how it's going to look. From the moment guests arrive, think about the entrance, where your seating plan will sit, the dining area, bar, dance floor and any relaxed lounge spaces. Then consider what happens outside the marquee too. Perhaps a decked area for drinks, outdoor seating or somewhere for guests to enjoy the surroundings.
These decisions are worth thinking about right at the beginning, as they will ultimately influence the size, shape and position of your marquee. Flooring Is More Important Than You Think
A beautiful marquee needs a beautiful floor. It also needs a practical one.
Depending on the location, you may need a temporary floor or platform beneath the marquee to protect the ground and create a stable level surface. Then there is the question of whether you're choosing carpet, wooden flooring, a painted finish or something more bespoke.
And don't forget the areas outside the marquee. If it rains, your guests still need to get from the car park to the toilets, bar and main tent without navigating a muddy field in heels.
It's the unglamorous stuff that makes the difference
Toilets & Bathroom Facilities
This is one of the hidden costs that most couples often forget.
A marquee doesn't come with bathrooms, so you'll need to arrange your own facilities, taking into account guest numbers, the duration of the event and the level of experience you want to provide.
As a very rough guide, luxury portable bathroom facilities can start from around £700 up to £3,000. But this can increase considerably depending on the number and specification of units, location, servicing and finishes.
There are lots of extras to consider when planning the bathroom facilities. Luxury bathroom trailers, beautifully styled facilities, mirrors, lighting and attendants if required. These aren't necessarily the first thing you picture when designing your wedding, but they are an important part of the guest experience.
Power, Lighting & Production
A field doesn't usually come with a convenient supply of electricity. You may need generators, distribution boards, cabling and additional power for lighting, catering, entertainment, toilets and heating or air conditioning.
Then there is the fun stuff.
Lighting can completely transform a marquee, from architectural lighting and chandeliers to festoon lights, candles, pin spotting and dramatic dance floor lighting. Your production budget can become a significant part of the overall spend, particularly if you're creating a true party atmosphere.
This is where marquee weddings become incredibly exciting. That blank canvas really can become almost anything.
Catering Tents
Yes, your catering needs its very own space.
Your caterer will need a dedicated catering tent or kitchen area, access to power and water, refrigeration, preparation space, storage and a sensible route into the main marquee. And this space needs to be positioned carefully.
Your guests shouldn't be watching your catering team unload crates and wash dishes from their dinner table. A good marquee wedding planner will think about the behind-the-scenes logistics just as carefully as the beautiful front-of-house design.
Don't Forget the Suppliers' Spaces
This is a big one.
Your band may need a green room. Your DJ may need somewhere to store equipment. Your photographer, videographer, caterer and entertainment team may all need somewhere to store personal belongings, equipment or cases. And if you're having a large production, those requirements grow quickly.
A successful marquee wedding isn't just about giving your guests enough space. Every wedding supplier needs the right space to do their job properly.
Furniture, Bars & All Those Beautiful Details
Typically, when you book a traditional wedding venue, your chairs, tables and some furniture will often be included as standard, which makes things a little easier when it comes to budgeting. A marquee wedding is a little different. You have that beautiful blank canvas, but you also need to fill it, so everything from tables and chairs to bars, lounge furniture, linen, glassware, staging and even your dance floor may need to be hired separately.
It’s one of those costs that can easily be overlooked when you’re first building your marquee wedding budget, so I always recommend thinking about your furniture and production requirements from the very beginning. And then, of course, we get to the really fun part: the design details. Flowers, stationery, candles, menus, signage, styling and all those personal touches that take your marquee from a beautiful structure to a wedding that feels completely you.
This is where your marquee wedding design really starts to come together, but it is important to allow for these costs from the beginning rather than treating them as last-minute extras.
And What Happens If It Rains?
Let's talk about the big one: weather contingency.
If you're planning an outdoor ceremony on a lawn, in a private garden or across the grounds of a country estate, you need a genuine Plan B.
You could have enough space within the main marquee to turn the ceremony area around, create a separate ceremony structure, or have a secondary covered space available. The right option will depend on your venue and layout, but it needs to be considered before the marquee is even designed.
Because if it rains, you don't want to be making those decisions on the morning of the wedding.
So, What Does a Marquee Wedding Actually Cost?
This is the question I'm asked all the time, and unfortunately there isn't one magic number.
A marquee wedding for 100 guests can cost dramatically different amounts depending on whether you're creating a simple countryside celebration or a fully produced luxury wedding weekend.
As a very rough guide, remember to budget beyond the marquee itself for:
Marquee structure and installation
Flooring
Heating or air conditioning
Toilets and bathroom facilities
Power and generators
Catering and kitchen structures
Lighting and production
Furniture and bars
Dance floor and staging
Supplier and staff spaces
Parking and guest access
Waste and water management
Weather contingency
Styling and florals
All pricing is very much a starting point only, and your final cost will depend heavily on your specification, guest numbers and location. This is exactly why I recommend creating the whole marquee wedding budget before committing to the structure itself.

They give you freedom. You aren't working around a fixed dining room or predetermined layout. You can completely transform a blank space into something that feels personal, immersive and incredibly memorable.
But the magic is in the planning.
